We are currently looking for;-
Duty Manager

A Duty Manager is primarily responsible for assigning rooms to the guest and ensures that they are comfortable during their stay. Handles entire shift operations in absence of Front Office Manager.
1. Ensure that the logbook is read and signed every day before the shift.
2. To check and authorize the checklist of reception & cashier, Service Centre, Reservations, Bell Desk.
3. To Update the DM’s checklist.
4. To conduct briefing at the beginning of every shift.
5. To conduct training as per Training calendar for the month and also if any required in between.
6. Follow up for No Shows and report to Front Office Manager / Revenue Manager in a timely manner.
7. Manage room position for the day.
8. Have detailed information regarding arrivals and room requirements.
9. Ensure rooms are blocked for all arrivals as per the time of arrival and preference.
10. To co-ordinate with housekeeping to ensure rooms are ready as per standard time for all arrivals.
11. To ensure ready room is allotted to early morning arrival.
12. Ensure all VIPs & Lady executives are met on arrival and escorted to room.
13. To meet guest on departure and fond farewell.
14. All early checkout to be met and checked for the reason and accordingly communicate to AM/GM.
15. To coordinate with Travel Desk & Reservations for any pick-up or Travel Arrangements.
16. To ensure rooms for VIP, Lady executive and long stayer are checked prior to arrival.
17. Long stayer Bills to be closed on regular intervals.
18. Ensure luggage & message reach within 5 minutes.
19. Handle all guest requests and complaints and close this loop.
20. Ensure all the complaints and request received from the guest are recorded in the guest complaint log book and followed up at regular intervals.
21. Scanty baggage guest to be intimated to security for high alert.
22. Know the hotel so well that you do not have to say “I DO NOT KNOW”.
23. Ensure re-confirmation for the day is done for all reservation.
24. Ensure GDS arrival list and cancellation list is checked on a daily basis.
25. Registration card to be signed shift wise and check the accuracy of rate, profile updation, checkout date and time and DM on shift to acknowledge all the above with sign.
26. To minimize the upgrades and maximize the upsell.
27. To check the Housekeeping discrepancy report thrice a day and highlight all deviation if any
with necessary action.
28. To keep a track of DND and sleep out rooms and follow the process.
29. To handover rooms to maintenance for PM .
30. To receive correspondence from reservation for the next day and highlight for missing B2C
letter through mails.
31. To check lobby, porch and toilets for the cleanliness and any suspicious movements.
32. To ensure stores is pickup by Front Office staff as per Stores standard.
33. Ensure lobby music is maintained as per standard.
34. To ensure hotel cars report and check the cleanliness as per the standard.
35. To ensure all Front Line staff follow the Brand standards.
36. To the deviation from the Service center and address immediately.
37. To be part of morning meeting when conducted in absence of FOM.
38. To organize for ATG for group arrival as required.
39. To ensure staffing is taken care for the group arrival and departure.
40. To organize for the separate checkin counter for the group in the lobby.
41. To inform any walk in to security and keep a tab on the movement and billing.
42. To check the Business Centre for faxes, Board room, guest requests and ensure all the
equipments are in working condition.
43. Check that the Internet lines are in working condition, if not inform the System Administrator.
44. To ensure junction test is done and log complaint incase of any problem.
45. To check the manual wake call report with PMS printout.
46. To ensure cars are sent for all guest who has requested.
47. To co ordinate with the airport representative.
48. To ensure all left luggage are secure
49. To ensure newspaper is delivered to all guest room as per preference
50. To make the duty Roaster for all associates.
51. To ensure all staff are reported as per the duty roster.
52. To check the correspondence for the next day and high deviation.
53. Resolve all the traces for the next if any.
54. To check the sleep-out and action as per process.
55. To check for the missing registration card
56. To ensure all the registers and records are updated.
57. To generate reports for GM /FOM and credits department.
58. To carry out other responsibilities assigned by FOM.
59. Ensure Grooming as per standard.
60. Answering call with in 3 rings and with a smile using Guest names.
61. Use of Standard Phrases at all time.
62. To co-ordinate mainly with House Keeping, Maintenance, security, Room Service
departments as well as coordinating with all departments.
63. Any other duties related to front office assigned by the Front Office Manager.
MINIMUM EXPERIENCE AND QUALIFICATIONS REQUIREMENTS
 Hotel Management or any equivalent Degree
 4-5 yrs experience in any 5 Star Hotels
 Strong guest handling skills
 Good Communication skills
 Good computer skills
 Ability to work for long hours
 Willing to work in shifts
