We are currently looking for;-

Front Office Supervisor

DUTIES AND RESPONSIBILITIES
1. Read logbook.
2. Conduct/Attend briefing.
3. Standard Phrases to be used at all time.
4. Up to date information is collated on VIP arrivals expected for the day.
5. Profiles details are collated.
6. To participate in the evaluation of the Guest Service Agents and the Bell Staff with the Front Office Manager.
7. Responsible of all in house folios, credit Travel Agents Vouchers with close communication with the account receivable and the Income Auditor
8. Knowledge is up to date on hotel facilities, functions and other tourist information, so as to give correct information to the guests
9. All necessary facilities have been provided to VIP rooms such as fruits, flowers, cookies, bar and stationary
10. Download of Medallia response and discuss in the briefing.
11. Updating of complaints, compliments & Suggestion in Guest Met Report from all sources.
12. Blocking of rooms for Guest as per their preference.
13. Escorting all VIP & Single Lady guests.
14. Monitoring of Profile Errors.
15. Ensure Proper Shift Hand Over, Revising the Shift Duties List completed efficiently.
16. Check all Registration Cards before Filing.
17. Ensure that Billing Instructions are accurate and clear.
18. Make Necessary arrangements for groups check in – Out.
19. Counseling & Training the erring staff with regard to profile updating.
20. To check the grooming Standards of the belldesk team & other fellow subordinates.
21. Promoting Wyndham rewards for the first timer guest and to meet the monthly target.
22. Car checks & ensure amenities are placed as per standards such as newspapers magazine mineral water, etc for VVIP arrivals.
23. Targeting of all repeat guests and ensuring their preference are captured and met as well.
24. Ensuring all VIP, Lady Executive & Longstayer rooms are checked prior to the arrival and report generated on the discrepancy accordingly.
25. Guest’s requests are complied with to their satisfaction or escalated for action.
26. Instant reservation facility is provided and followed up promptly for reservations in all our hotels.
27. Ensure Proper Key Control.
28. All guests are met on their departure and their relevant feedback is taken and passed to the management.
29. Warm Indian Welcome is extended to the VIPs on their arrival through traditional Indian customs Arti tikka and garlands. (as per requirement or request pre specified).
30. Handling guest complaints with immediate action and through proper follow up.
31. Daily Checks on Profile for the following days arrival to avoid duplicate profiles.
32. Celebrating In-house Guest Birthday & Anniversary.
33. Acts as a Salesperson in order to maximize the Rooms revenue.
34. Organizing for Medical assistance and taking care of Unwell Guest.
35. Coordinating with other department on Jetlag services for guest who travel from different time zone.
36. To conduct Accommodation meetings on a daily basis.
37. Tracking of de blocking and Room not ready.
38. Scan through Guest Met Report & Medallia to capture data of expected arrivals for next day.
39. All service designs to be followed.
40. Grooming as per standard.
41. Ensure Proper Handling of out of order (O.O.O) Rooms with Engineering and House keeping Departments.
42. Answering call with in 3rings and with a smile using Guest names.
43. Use of Standard Phrases at all time.
44. Training of Front Desk staff.
45. To co-ordinate mainly with Room service, Housekeeping, Sales and as well as coordinating with all departments.
46. Any other duties related to front office assigned by the Front Office Manager.
JOB SPECIFICATIONS

MINIMUM EXPERIENCE AND QUALIFICATIONS
• Hotel Management or any equivalent Degree
• 2-3 yrs experience in any 5 Star Hotels
• Good Communication skills
• Strong Guest Handling skills
• Good computer skills
• Ability to work for long hours
• Willing to work in shifts
